Club Goals Reports: Where are we at? Keep up to date with your club's Distinguished Club Programme goals progress each month by logging in to the Toastmasters International website and going to the Information for Members, District Reports section. You will need to know your club number to call up your club's report, which you can then print.
Submitting Awards Online: Forget the fax! Your Club's Vice President Education can Submit an Award Application online on the Toastmasters International website for any educational award for any club member. This saves you having to fax or post the Award Application. Make sure you have all the information you need before you start.
Educational achievement certificates are no longer numbered. This means that an application for an educational achievement only needs to quote the MONTH AND YEAR OF ISSUE of the prerequisite certificate. The certificate number request can be ignored unless a certificate is held that was issued prior to June 2003 (ie before the change). In these cases the certificate number can still be quoted.
The change will not affect DTMs which will continue to be numbered.
Changed your name or address? Toastmasters International has a Member Login on the Members site. It is important to notify changes to your name and address, so that you continue to receive the monthly Toastmaster magazine. A club officer can also change your details on the Club Officer tab.
If you belong to more than one club, use the same address for each club, complete the form only once and list the Clubs to which you belong.
If you want to use different addresses (for example, your home address for one Club and a business address for another), complete the form for each address and list the corresponding clubs.
Note: This form is not to be used as a Club Officer list. It is for personal details only.
To successfully fill in this form, you need to enter the following details:
- Your District and Club/s number/s
- Your name as it appears on your Toastmaster magazine address label
- Details of your new address
- Details of your new name
- Club or District Officer change information
Toastmasters International will change your member records in their database.
Club contact information changes: Has your club changed club officers, or meeting venue? Then you need to advise Toastmasters International using the Cub and Officer Change Form. You also need to advise District 72 Toastmasters New Zealand by filling in the online Club or Officer Change form. Changes will be made in the website database and the District Directory.
Forms and Documents: Misplaced a form? The Toastmasters International website has many Toastmasters forms and documents available for downloading and printing.
Club Business Cards: Use your favourite word processing or desktop publishing program to create your own Club business cards. Give 10 cards to every member and challenge them to give them away to prospective new members.
Monthly themes: Does your Club or Area have a monthly theme? Some suggestions are "Visual Aids", "Club Leadership", "Judging", "Club administration", "Competing in Contests", "Building Membership", "Mentoring". Build these themes into your educational sessions or hold special workshops focussing on particular aspects of the Toastmasters programme.
Subscriptions: Forget to Pay? Or Pay and Forget! At Dues Renewals time (September and April), encourage your club members to go to their bank and set up an automatic payment for your club subs. Just divide your 6-monthly subs amount by 6 - that's the amount of the payment. Provide your club's bank account details to all members. That way, your club receives regular monthly income, and at subs time, all the subs are paid in advance. Your Treasurer will love you for it!

- Reviewed and updated all your club pamphlets and other literature
- Measured the pulse of your club members by surveying them to find out what their needs are
- Published a club newsletter
- Planned your next Speechcraft course
- Prepared your club contest schedule and forward programme
- Promoted club member attendance at the Division Conference and District Convention
- Prepared a membership building plan
- Planned and built a club website
Membership Building Ideas and Resources: Stuck for ideas? Toastmasters International's website has a number of membership building tips and resources you can use in your membership building efforts, including fliers, brochures and posters.
Email signatures: Sign it right! Make up a Toastmasters email signature and include it on all your club emails. Include your name and Toastmaster status, Club Name and Club number, Club email address, District 72 website address, Contact phone and fax numbers, Club meeting details, and your favourite quotation.
Who is your Guest? When you are Chairperson of a meeting, ask every club member you contact about their speaking assignment "And who is your guest this week?" Record the name of the guest on the agenda before publishing it. Your guests will be amazed that their name is in print when they turn up to the meeting! And don't forget to introduce your guests and make them feel welcome!
The back page: Is your Agenda's back page blank? Put the Toastmasters Promise on the back page of your meeting Agenda, items of general business, club notices, details of the next meeting, your favourite quotation, a space for notes ... the list is endless!
Clone Yourself: Challenge every club member to sponsor at least one new member EVERY YEAR!
Lost in Space: "I've lost my guest!" Are you losing guests before they even arrive because they don't know where to go? Make sure someone is stationed outside your meeting venue with the guest list to keep a lookout for "lost guests". Signpost your meeting venue clearly. Provide maps and parking directions to your guests in advance, or even offer them a ride. Make sure all club members are wearing their name badges, and have a special name badge for your guests.
Bookmark it! Use your word processing or desktop publishing program to design and print Toastmaster bookmarks for your club. Ask your local library if they will put one inside the front cover of every book they issue. A great way to promote your club to the local community!
Website promotion tips - help send visitors to our website!
- Subscribe to the website's newsletter for monthly news from the District Governor, and encourage your friends to do the same.
- Print the website address www.toastmasters.org.nz on all club correspondence, literature, pamphlets, club newsletters and advertisements.
- Print your own business cards including the Toastmasters logo, your club meeting and contact details and website addresses and hand them to everyone you meet.
- Include the website address on your personal Toastmasters email signature block.
- Include an advertisement about Toastmasters in your organisation's in-house newsletters and training literature listing the website address.
- Include a link to the website from the training or news page of your organisation's intranet, and make sure your Human Resources section knows about Toastmasters.
- Make regular press releases about your club activities, and include the website address.
- Link to the website from your club (and personal) website.
- Post a Toastmasters flyer or notice on your staff noticeboard with your club details and website address.
